The Administrative Assistant provides advanced-level secretarial /administrative support for the Zoological Society of San Diego’s Director of Membership and the Development Communications/Design team. Final applicants will be administered computer skills and proofreading tests.
Required qualifications include:
* At least 3 years of administrative/secretarial experience
* Must have excellent organizational, customer service, editing, proofreading, grammar, math, and typing skills.
* Must be detail-oriented, competent in composing routine correspondence, and have basic knowledge of computer systems, which includes spreadsheets and presentations. (Windows, Word, Excel and PowerPoint preferred).
*Experience with purchasing and invoicing systems (preferably electronic).
* Ability to coordinate budget preparation and track expenditures.
* Must be able to coordinate with other departments and outside vendors as needed.
* Ability to transcribe interview and dictation tapes, develop computerized report layouts, and prepare proposals and charts.
* Ability to work effectively with others in a setting where discretion and confidentiality are of the utmost importance.
* Ability to organize work effectively, establish priorities and meet deadlines.
* Ability to multi-task and handle complex tasks independently
* Familiarity with automated phone systems and email
* Effective oral and written communication skills
* Ability to take meeting minutes and format them for distribution
REPRESENTATIVE DUTIES/RESPONSIBILITIES
Essential Functions:
Provides secretarial support; schedules assigned director's/manager's calendar; may assign work schedules to staff as appropriate; screens and assists visitors/callers; serves as receptionist as needed; produces a variety of reports and documents; reviews and distributes mail; composes/edits routine correspondence; maintains specialized databases, scheduling systems, records, and files; makes travel and accommodation arrangements for staff and visitors; coordinates departmental/office activities, services, and facilities with contractors, vendors, governmental agencies, other departments and organizations, media, and the public as appropriate; works with donors and volunteers as assigned; arranges meetings and takes minutes as required; may provide lead guidance to clerical staff; and maintains a variety of contacts in order to respond to inquiries and requests. Ancillary Functions: Orders and stocks office and specialized supplies; may provide desktop publishing support; may serve as department computer resource; may track budget items; and performs related duties and responsibilities as required.
QUALIFICATIONS GUIDE
Examples of representative qualifications include secretarial/ administrative experience; basic knowledge of recordkeeping; communication skills; ability to compose routine correspondence; ability to use word processing in preparing routine documents; ability to use office equipment; and ability to work effectively with others. The ability to use database, spreadsheet, and desktop publishing systems is desirable in some assignments. The ability to take fast notes or shorthand is desirable in some assignments.
